Conference Room Technology Quick Guide

These settings reflect what most people prefer in our conference rooms:

Please call IT at x6212 at least 48 hours before your meeting if you would like to customize your conference room settings.

TO ADD A CONFERENCE ROOM TO AN ONLINE MEETING:

 If you are the meeting organizer:

  • In Outlook, add Teams to the calendar appointment invitation as another participant
  • Add the conference room using the Room Finder.

 If you are not the meeting organizer:

  • Do not forward the original calendar invite to the conference room.
  • In Outlook, create a parallel calendar appointment and copy all of the online meeting details (from the original calendar invite) into the notes field of the parallel meeting.
  • Add the conference room as a participant.

 

TO SHARE YOUR LAPTOP SCREEN IN A CONFERENCE ROOM

Use HDMI cable and tap SHARE, or:
          a)  Connect to (but do not join yet) the meeting from your laptop.
          b)  Turn off your microphone, video, and sound on your laptop; join meeting.
          c)  Share from your laptop as you would at your desk.


JOIN A MEETING

For meetings that have been scheduled in the conference room, locate your meeting in the Calendar on the right of the screen, and click Join.

If the meeting was not previously scheduled, you can click Join with an ID. Join a meeting by entering the meeting ID and passcode.

From the Home screen, you can also:

  • Meet now. Start an instant meeting and add participants.
  • Call. Call a contact by dialing their number.
  • Share. Start sharing content.
  • More. Access the volume controls and device Settings menu.

CONTROL THE CONFERENCE ROOM CAMERA

LOWER camera controls let you:

Turn Selfview on and off

Allow remote participants to control the camera

Zoom in and out

Expanding the RIGHT-HAND MENU and choosing Camera lets you:

Choose Auto camera functions:

Group: camera will adjust to show everyone

Frames: camera will zoom

and show people individually

or in smaller groups

Speaker: camera will follow the person speaking

Manual: zoom in and out

CHANGE WHAT YOU SEE ON THE TV

Choose between Gallery view and Front Row:

Gallery is the more common participant view

Front Row displays people, content, and the Teams meeting chat
